MAIN JOB PURPOSE 

The role of the Clerical Officer is to carry out routine daily tasks in accordance with policies, procedures, or instructions issued from time to time by the Authority’s Top Management. 

 

MAIN DUTIES & RESPONSIBILITIES

Main Responsibilities 

 

  • Providing clerical support to the administrative and technical branches of the Authority. 
  • Making use of departments IT systems and databases as well as handling email correspondence. 
  • Formulating basic reports such as Valuations Quarterly Report and pending verification lists. 
  • Registering file movements. 
  • Keeping the Unit’s database up to date. 
  • Follow up on cases carried out by architects and ensure that deadlines are met. 
  • Keeping records of valuations’ date in the respective folders. 
  • Verifying Architects’ invoices and liaising with Accounts for payments. 
  • Assisting in preparing the necessary documentation related to any specific assignment. 
  • Assisting in the preparing documents for the Valuation Committee. 
  • To provide routine information to clients over the phone or via other communication tools. 
  • To assist superiors regarding general clerical duties including basic minute taking and preparation of any necessary documents. 
  • To prepare necessary documents for processing such as filling of basic forms. 
  • To make use of photocopiers, scanners, shredders, PCs, printers, and other equipment as the need may dictate. 
  • Any other duties which may be required from time to time and as may be directed by Management.

  • To provide support to superiors as required. 
  • Carrying out routine daily tasks according to policies, procedures, or instructions. 
  • Following up on own tasks assigned.  

 

 

Quality Assurance 

 

 

  • To deliver good quality work, accurate reports, and information, both within the Authority and externally.  

 

External Relations 

 

  • To provide a high level of service and support throughout.  

 

Tasks and duties of the jobholder are not limited to the above listed ones and employee may be required to assist other employees/departments or requested to perform other/different duties from time to time as the need may be, according to the exigencies of the service and the moment. 

 

PERSON SPECIFICATION - The qualifications, experience, skills and other attributes required by the job holder. 

Essential 

  • In possession of O-Level Qualifications (MQF level 3), in at least two (2) subjects.  

AND/OR 

  • Two (2) years of relevant work experience in a similar position.  

 

Skills 

  • Good knowledge of verbal and written communication in both Maltese and English is essential. 
  • Customer handling skills 
  • Reliable and trustworthy
