Job Title: Officer II – CEO’s Office
Grade: Grade B LA/GWU Collective Agreement Year 2025 - 2028
Salary: €25,262
Allowance: €1,500
Unit: CEO’s Office
Report To: Direct Superior (as designated from time to time)
MAIN DUTIES & RESPONSIBILITIES
Key Responsibilities
- To oversee the day-to-day operations of the CEO’s office, ensuring smooth functioning and efficiency.
- To interact with clients by phone, e-mail and on a face-to-face basis ensuring accuracy and sensitivity.
- To handle all filing system of the CEO’s Office, both digital and physical.
- To manage the CEO’s and boardroom’s calendar, schedule appointments, coordinate meetings, schedule, and administer CEO’s database.
- To prepare and collate any necessary information as required.
- To follow up on cases and act as customer care official in the office of the CEO.
- To keep track and administer the Section’s database.
- To keep adequate stock of required items.
- To coordinate and collaborate with other Directorates and Units involved as necessary.
- To provide other general administrative support as required or requested.
- Search and organize files within the Directorate.
- Assist in writing Board Memos with the assistance of your superiors.
- To make use of Computers, Laptops, photocopiers, scanners, land line telephones, shredders, and other office equipment which may be provided from time to time.
- Following up on tasks and ensuring the necessary follow ups to close cases.
- Assist superiors to implement the paperless strategy.
General Operational Management:
- To provide support to superiors as required.
- Carrying out routine daily tasks according to policies, procedures or instructions.
- Follow up on tasks assigned.
- To be familiar with the various Lands Authority regulations.
- To report to the Senior Manager as required.
Quality Assurance:
- To assist and ensure maximum efficiency on the overall aspects of this job.
- To assist in reaching the set goals and standards established by the Authority/Directorate.
Tasks and duties of the jobholder are not limited to the above listed and the employee may be required to assist other employees/departments and may be assigned duties within units/directorates other than other/different duties from time to time, as the need may be.
QUALIFICATIONS & EXPERIENCE
Candidates must be in possession of the following:
- In possession of O-level Qualifications (MQF level 3) in at least four (4) subjects, and two (2) year of relevant work experience.
OR
- Four (4) years of relevant work experience in a similar position.
Skills
- Proficiency in both Maltese and English is required (both written and verbal).
- Proficiency in standard business office software (Microsoft Office).
- Customer handling skills.
- Reliable and trustworthy.
